Everything you need to know before booking with The Saharsh Pavilion

Booking & Reservation Terms

Confirmation of Booking

A booking is only confirmed upon receipt of the required deposit and a signed booking agreement. Verbal or email correspondence alone does not constitute a confirmed reservation.

Booking Agreement

The primary contact who completes the booking form is deemed the responsible party and agrees to these terms on behalf of all guests and vendors attending the event.

Date Hold

We may provisionally hold a date for up to 48 hours upon request. After 48 hours the date is released back to availability unless a deposit is received.

Guest Count

The venue accommodates up to 400 guests. Final guest numbers must be confirmed no later than 7 days before the event. Additional costs arising from increases will be charged accordingly.

Rescheduling

One complimentary reschedule is permitted up to 30 days before the event, subject to availability. Rescheduling requests within 30 days may incur an administrative fee of $250.

Payment & Pricing Policy

Deposit Requirement

A 10% deposit secures your date and is applied to your final balance.

Balance Payment

The remaining balance is due in full no later than 72 hours before the event. Failure to settle the balance may result in the booking being cancelled without refund.

Accepted Payment Methods

We accept bank transfer (EFT), credit/debit cards, and cash. Cheques are not accepted. All prices are in Australian Dollars (AUD) inclusive of GST.

Price Variations

Quoted prices are valid for 14 days. The Saharsh Pavilion reserves the right to revise pricing for bookings made outside this period. Once a deposit is paid, the agreed price is locked in.

GST Notice: All prices displayed are inclusive of Australian GST (10%). A tax invoice will be provided upon request.

Cancellation Policy

Cancellation by the Client

All cancellations must be submitted in writing via email. The date of receipt of the written cancellation is used to calculate the applicable refund.

Deposit Refund Eligibility

If a cancellation is received more than 7 days before the event, 70% of the deposit is refunded (a 30% admin fee is retained to cover holding and administration costs). Cancellations within 7 days of the event are non-refundable.

Cancellation by The Saharsh Pavilion

In the unlikely event that we must cancel your booking due to circumstances beyond our control, a full refund of all amounts paid will be issued within 10 business days.

Force Majeure

Neither party shall be liable for failure to perform obligations due to causes beyond reasonable control. In such cases we will work with clients to reschedule at no additional charge.

Refund Schedule

Early Cancellation (more than 7 days notice)

Cancel more than 7 days before the event and 70% of your deposit is refunded. A 30% admin fee is retained to cover holding and administration costs.

Late Cancellation (7 days or fewer notice)

Cancellations received 7 days or fewer before the event are non-refundable. No refund will be issued on the deposit or any balance paid.

Refund Processing: Approved refunds are processed within 10 business days of written confirmation, returned via the original payment method where possible.

Venue & Conduct

Access Hours

Venue access is provided from the agreed start time. Early access must be arranged in advance and may incur additional charges. All events must conclude by the agreed end time.

Noise & Disturbance

Music and amplified sound must comply with local council noise regulations. All live music and DJ events must cease by 10:00 PM. Continued breach may result in early termination without refund.

Damage & Cleaning

The client is responsible for any damage caused to the venue, equipment, or furnishings by guests or vendors. A security bond may be required for certain event types.

Alcohol Service

The Saharsh Pavilion holds a liquor licence. External alcohol is not permitted. Staff reserve the right to refuse service to any person who appears intoxicated or is under 18.

External Vendors

All external vendors must be approved in advance and hold appropriate public liability insurance. Vendor access times must be coordinated with our events team.

Liability & Insurance

Limitation of Liability

To the maximum extent permitted by Australian law, The Saharsh Pavilion's liability for any claim arising from a booking is limited to the total amount paid for that booking.

Personal Property

The Saharsh Pavilion accepts no responsibility for loss, theft, or damage to personal property brought onto the premises by clients, guests, or vendors.

Event Insurance

We strongly recommend clients obtain event cancellation insurance. The Saharsh Pavilion holds public liability insurance for the premises.

Privacy Policy

Data Collection

We collect personal information (name, email, phone, event details) solely for the purpose of managing your booking and communicating about your event.

Data Use

Your information will not be sold or shared with third parties except as required to deliver the services you have booked (e.g., catering partners, payment processors).

Photography & Marketing

We may photograph events for marketing purposes. If you do not wish your event to be photographed, notify us in writing at least 14 days prior.

4

Governing Law

These terms are governed by the laws of the Australian Capital Territory, Australia. Any disputes shall be subject to the exclusive jurisdiction of the courts of the ACT.
